Business Manager

Mission: To operate a nationally significant museum and heritage railway where the public experiences captivating exhibits and educational programs that confront the impactful and challenging history of railways in shaping the Pacific Northwest, actively engaging the community and inspiring future generations to preserve this transformative heritage.
Overview: Located in Snoqualmie, WA, the Northwest Railway Museum is one of our country’s largest and most comprehensive railroad museums and the seventh-most visited Museum in the Pacific Northwest.
The Museum is a 5-mile campus that exhibits, restores, and operates trains, offering individuals and families the excitement of experiencing a working heritage railway. The Museum is in the early stage of a capital campaign. Tracks to the Future is the final segment of the Museum’s Master Plan and will include the construction of a 2-story, 35,000-square-foot Roundhouse with an operating turntable. The project is expected to be built in phases as funding becomes available, and will include deep foundations, stormwater control systems, and archival climate control systems.
The Northwest Railway Museum is accepting candidates to serve as the Business Manager, reporting directly to the Executive Director. The Business Manager will serve as the Executive Assistant to the Director, managing human resources, supporting advancement work (including fundraising and communications), and maintaining relationships with the Board. The Business Manager will also work closely with the fundraising team to manage donor and member files, as well as gift processing.
Key Responsibilities to include:
Administrative Support to the Executive Director:
· Serve as the primary contact for the Executive Director and act as a liaison with the leadership team,
· Perform administrative support duties including file maintenance, correspondence, phone calls, calendar management, and expense reconciliation,
· Support HR activities, including monthly payroll through Gusto,
· Manage special projects including research, analysis, and recommended actions,
· Arrange meetings and special events related to the Executive Director’s role, for the leadership team as required, and for the Board of Directors,
· Assist with preparing monthly reports for the Board of Directors,
· Prepare agendas for leadership team meetings and attend and participate in discussions,
· Perform other duties as assigned.
Office Management:
· Manage the Museum’s calendars, phone system, and certain personnel documents,
· Plan all staff meetings & events,
· Maintain office supplies and negotiate the purchase of supplies and equipment within the approved budget,
· Supervise the maintenance of office equipment,
· Supervise maintenance of office areas.
Advancement:
· Work with the Fundraising and Communications team to support donor communications and external relations,
· Track donations in the Museum’s CRM,
· Be an ambassador for the Museum, articulating its mission and program impact across the Pacific Northwest.
Skills and Qualifications:
· Minimum four-year college degree, or equivalent work experience,
· Preference for prior museum administration experience,
· Excellent office and computer skills, including CRM/database experience,
· Excellent oral and written communication and interpersonal skills,
· Strong organizational skills with the ability to prioritize multiple tasks or projects,
· Excellent time management skills with the ability to meet deadlines,
· Ability to maintain confidentiality and trustworthiness,
· Motivated and a self-starter,
· Proficient with Microsoft Office Suite, Adobe and CRM platforms.
