Position Summary:
Imagine Children’s Museum is seeking a seasoned and enthusiastic part-time Fundraising Events Coordinator. This year-round role is responsible for securing fundraising event sponsorships, soliciting in-kind donations for auctions and coordinating all aspects of fundraising events. Fundraising event management, from planning to execution, data management and post-event follow-up, is part of the Fundraising Events Coordinator’s responsibilities. Working closely with the Chief Advancement Officer, departmental staff and the Board’s Fundraising Committee and Committee Co-Chairs, the position requires making cold and warm solicitation calls and will be responsible for building good relationships with prospective sponsors and clients across multiple sectors and communicating with the public and internal teams. Suitable candidates will be detail-oriented, proactive and inspirational. We’re looking for someone who believes in the mission of Imagine and has an exceptional drive for furthering our fundraising efforts as well as strategizing and delivering on new ones.
Essential Functions/Major Responsibilities:
Event Management
- Execute multiple annual fundraising events, including developing and implementing timelines; coordinating with key Museum departments.
- Manage invitation, RSVP and ticketing process for all event participants; develop and manage table assignments as appropriate.
- Provide progress reports to the CAO, CEO, and Board committees throughout the event planning process.
- Coordinate across Museum departments to successfully implement event plans including A/V, catering, external vendors, and outside contractors.
- Manage and coordinate vendors and process invoices.
- Supervise event logistics, including all events’ set up and clean up.
- Recruit, train and provide oversight of event volunteers.
Fundraising and Sponsor Communications
- Effectively convey the organization’s mission, vision, and programs to potential sponsors.
- Maintain and coordinate a 12-month plan to identify, cultivate and steward event-based sponsorships and donors.
- Work with the Development team to achieve annual event fundraising goals by making related solicitations according to a weekly schedule.
- Secure four- and five-digit fundraising event sponsorships to meet the annual sponsorship goal.
- Secure in-kind donations for events and programs, including an annual auction.
- Make personal calls and send cold emails to prospective sponsors.
- Provide weekly dashboard reports to CAO of fundraising progress against annual goals.
- Proactive problem solving.
Administration
- Daily data entry and filing.
- Maintain records, files, and databases with meticulous accuracy.
- Produce regular spreadsheets and database reports to measure and analyze results.
- Document gifts.
Board, Committee and Volunteer Engagement
- Support the CAO and board Fundraising Committee chairs to prepare agendas, disseminate information and action steps, and follow up with individual Committee members and table captains.
- Communicate regularly with Committee Co-Chairs, Committee members and event table captains by phone, text and email.
- Create high-quality written materials to distribute to Board, Co-Chairs, Committee and table captains.
Position Requirements:
- Enthusiastic, expert knowledge of fundraising events planning and execution combined with demonstrated track record of meeting annual fundraising goals.
- Highly competent in Microsoft Office computer suite skills, including Word, Excel, PowerPoint, Teams and Outlook.
- Proficiency in fundraising databases is strongly preferred.
- Self-directed project management skills. Efficient and detail oriented. Demonstrated skills for multi-tasking.
- Strong interpersonal and written communications skills. Ability to speak in front of groups and convey information effectively. Personable, with ability to positively motivate others.

Education and/or Experience:
- 3-5 years of successful event-based fundraising experience, with experience in soliciting sponsorships and in-kind donations.
- Proven track record of successful event planning, including meeting event goals and annual goals.
- Sound knowledge of the community.
- Bachelor’s degree (or equivalent) in communications, business, public relations, or related field.
- Certification, diploma, or similar qualification in fundraising is preferred.
- Proficiency in donor management systems.
Supervisory Responsibility:
May supervise volunteers as needed.
