The Executive Assistant is a full-time position reporting directly to the Executive Director (ED) and is responsible for administrative and clerical duties in support of the ED.
GENERAL RESPONSIBILITIES
- Provide comprehensive and effective administrative, clerical, coordination, human resources, and public relations support to the ED
- Maintain ED’s calendar, help establish priorities, and keep ED to schedule
- Assist with routing phone calls and answering emails and general inquiries
- Help develop, organize, and coordinate the promotion of private-sector giving including annual fund drive, fund-raising events, and cultivation of individual donor prospects
- Provide assistance and support for interaction with the Board of Directors, including preparing all materials/reports and taking minutes for meetings
- Work with staff in coordination and development of Museum special events
- Assist the ED in developing funding sources and preparing grant applications
- Help maintain calendar of grant proposal and reporting deadlines, including state licensing
- Independently coordinate projects and ongoing functions as assigned by ED
- Perform human resources tasks
- Help ED maintain systems of organization in the administrative office
- Execute the Annual Fund Drive in collaboration with Operations Manager
- Manage logistics of school tour registration
- Maintain staff calendar, internal communications and necessary supplies stock for daily office operations
- Perform other duties as requested by the ED
MINIMUM QUALIFICATIONS
- Strong written and verbal communication, time management, and organizational skills
- Excellent editing, proofreading, and computer skills including MS Office Suite (especially Word,
- Excel and Publisher) and Adobe
- Office management experience (nonprofit administration a plus)
- Proven experience at managing multiple tasks effectively
- Capacity to work effectively and congenially with the diversity represented in our visitors, volunteers, and staff
- Ability to follow directions, determine priorities, and complete tasks on time
DESIRED QUALIFICATIONS
- Bachelor’s degree from an accredited institution
- Interest and enthusiasm in preserving and sharing local heritage
- Familiarity with computer network management and computer troubleshooting skills, and
- HR experience
- Fluency in Spanish
